WhatsApp Web links each computer to the account as a separate device, and a standard account allows 4 of them. That works when one person handles the company number, but it gets restrictive once several teammates need access. A browser also can't keep a personal and a company WhatsApp account open at the same time.

Incogniton solves this by putting the company WhatsApp in a dedicated browser profile that the whole team can open from their separate devices. Link the account once, and it stays signed in, irrespective of which teammate opens it.

The team shares a single linked-device slot, and nobody has to track down the company phone for another QR scan.

Why Incogniton works for a shared company WhatsApp

Comparison of a regular browser and an Incogniton profile, showing a chat interface where the regular browser incorrectly sends a message from a personal number, while the Incogniton profile correctly sends from a company number.

Linking every teammate's computer separately uses up the device slots quickly, and each dropped session sends someone back to the phone. Incogniton has the team work through one browser profile instead, so there is one session to maintain rather than one per computer.

The profile also sits apart from everything else in a teammate's browser. Their personal WhatsApp, Google account, and other logins stay in their regular browser, and the company account never mixes with them. That lowers the chance of someone replying to a customer from the wrong account.

Share one company WhatsApp account with your team

Diagram showing three steps for syncing a WhatsApp session: 1. Scan the QR code once in the profile, linked with the company phone. 2. Cloud saving syncs the session, with servers in US, Europe, and Asia. 3. Any teammate opens it, already logged in, with no QR re-scan needed.

Every teammate reaches the company number through the same Incogniton profile. The account is linked inside that profile once, and cloud saving makes the session available on each teammate's computer.

Create an Incogniton profile for the company WhatsApp account, open web.whatsapp.com inside it, and scan the QR code with the company phone.

Incogniton saves the profile's cookies and local storage between launches. Close the profile and open it again, and the WhatsApp session is still there without another QR scan.

Pick up the same session on another computer

Cloud saving is what carries the session to a teammate's computer. With it turned on, the profile's data syncs through Incogniton's servers, and a teammate who opens the profile from their own machine lands in the same logged-in session. They don't need the company phone or a QR scan, and the team doesn't need one dedicated computer kept on for WhatsApp.

Turn on cloud saving under Settings > Preferences > Enable cloud saving, then choose a server location in the United States, Europe, or Asia.

Only one teammate should have the profile open at a time. If two people launch it together, the sync can fail, and a failed sync on this profile can mean a lost session and another QR scan. Turn on Active session lock under Edit > Advanced > Other in the profile settings, and the profile opens on only one computer at a time.

Add teammates without using more linked-device slots

WhatsApp counts the shared Incogniton profile as one linked device. Whether 2 teammates take turns on it or 12 do, they're all opening the same WhatsApp Web session, so the account uses only 1 of the 4 linked-device slots.

Nobody has to unlink a teammate's computer before someone else can connect, and the other 3 slots stay free for other devices.

Keep the WhatsApp account consistent across locations

Diagram showing two users, Lagos and London, connecting from their own computers. Their connections feed into an Incogniton profile for "Company WhatsApp" which keeps the fingerprint, proxy, and session fixed. This results in WhatsApp seeing "One browser in one location.

Each teammate still opens the profile from a different computer, and often from a different network. A session whose browser and location change with every launch looks unusual, and an unusual session is more likely to get signed out. Incogniton keeps the browser identity and the IP location the same between those sessions.

Give WhatsApp the same browser identity on every computer

A browser fingerprint is the set of browser and device details a website can read, including the user agent, canvas, WebGL, fonts, and time zone. Each teammate's own browser produces a different one.

The Incogniton profile keeps one fingerprint and presents it whenever the profile launches. To WhatsApp, the company account opens in the same browser every time, whoever takes over.

Keep the same IP location wherever your team works

The browser fingerprint doesn't control the network connection. Without a proxy, a teammate in Lagos and another in London would connect the same WhatsApp session from two countries in one afternoon. That is exactly the kind of change that makes a session look unusual.

Assign a dedicated proxy to the Incogniton profile so every launch connects through the same IP location. Choose a static proxy over a rotating one. A rotating proxy changes the IP between sessions, which undoes the consistency the proxy is there to provide.

You can add a proxy from a third-party provider or buy one through the Incogniton Proxy Shop. In the profile's Proxy tab, select Check before saving to confirm the connection and location.

Control who can access the company WhatsApp

Once the company WhatsApp has its own profile, you can decide which teammates can open it. Incogniton's team permissions let you give access to specific people without sharing the WhatsApp credentials or the phone that owns the account. Team features are available on the Professional plan and above.

Give specific teammates access

Invite teammates from the Team page with Invite member, then assign a role that includes the WhatsApp profile. Roles can grant access to individual profiles or groups of profiles, so you can keep the company WhatsApp separate from the rest of the team's browser profiles.

Each teammate signs in with their own Incogniton account. They don't need the company phone or the WhatsApp login details to use the profile.

When someone leaves, changes their role, or is deleted from the Team page, their access ends without relinking the phone. Admins can also check members' browser-profile sessions in the Activity tab to see who had the profile open.

Manage multiple WhatsApp accounts with separate profiles

The same setup works when the team handles more than one company number. A browser can only hold one WhatsApp session, so each number gets its own Incogniton profile.

A company running WhatsApp for several brands or regions, for example, creates one profile per number. Each profile keeps its own WhatsApp session, browser fingerprint, and proxy. Switching from one number to another means opening a different profile, not logging out and scanning a QR code again.

All of these profiles sit in the same Incogniton dashboard. Put them in one group, and a single role gives the support team access to every number at once. Pinning the busiest profiles keeps them at the top of the list. The number of profiles you can create depends on your Incogniton plan.

Automate WhatsApp Web tasks with Playwright, Puppeteer, and Selenium

The profile that holds the WhatsApp session can also run browser automation. Incogniton's automation API works with Playwright, Puppeteer, and Selenium, with official SDKs for Python and Node.js. A script launches the profile and drives WhatsApp Web inside it.

Because the script runs in the existing profile, it starts in the logged-in session with the same fingerprint and proxy the team uses. Nobody has to scan a QR code for each run. A daily script that confirms the session is still linked, for instance, can alert the team before a customer message goes unanswered.

Keep the scope narrow, however. WhatsApp's terms don't allow bulk or automated messaging outside its official Business Platform, and a number flagged for it can be banned. Scripts that send messages at volume put the whole company account at risk, so leave outbound messaging to the Business Platform and use browser automation for tasks you can monitor.

Conclusion

Incogniton moves the company WhatsApp session off one person's computer and into a browser profile the whole team can open, apart from their personal logins. Cloud saving carries the session between computers, and it takes up a single linked-device slot, however many teammates use it. A consistent fingerprint and a static proxy keep the account steady wherever the team works.

Team roles decide who can open the profile, so access comes and goes without touching the company phone. Additional numbers each get their own profile in the same dashboard, and routine checks can run through Playwright, Puppeteer, or Selenium in the same logged-in session.

The team no longer depends on passing around a phone or keeping one computer switched on for WhatsApp.

Not at the same time, because a browser can hold only one WhatsApp session. Put the company account in its own Incogniton profile, and it stays separate from the personal WhatsApp, Google account, and other logins in each teammate’s regular browser.

Change their role or delete them from the Team page in Incogniton, and their access to the profile ends without relinking the company phone. Admins can check the Activity tab to see who had the profile open. Team features are available on the Professional plan and above.
