A profile stored on one employee's laptop is useless to the colleague working from home. Once a team spreads across several devices, profile access stops taking care of itself and requires planning.

Start with a few questions. Which profiles does the team share? Who needs each one, and from which computers? The answers decide where each profile is stored, how permissions are set up, and which profiles need a session lock. This guide works through those decisions in order, then covers onboarding, offboarding, and how to review access afterward.

## TL;DR

- Store shared profiles in the cloud. Keep local storage only for profiles one person uses on one computer.
- Turn on Active session lock for every shared profile so it can only run in one place at a time, and close profiles when you're done.
- Share profile groups through team permissions instead of passwords. Each person gets their own login, 2FA, and only the access their work needs.
- Check profile ownership before offboarding, and use the Activity tab and Security overview to see who accessed what, and from which device.

Let’s get straight into it.

## Step 1: Choose where profiles are stored

![Three cards titled Local, Cloud, and Hybrid, each with an icon and descriptive text about browser profile management.](https://incogniton.com/wp-content/uploads/2026/10/image-95-1024x585.png)

Incogniton offers local, cloud, and hybrid profile storage, and you can switch between them in **Settings > Preferences** . This one setting decides which devices can reach a profile.

| **Storage mode** | **How it works** | **Suitable for** | **Limitations** |
| --- | --- | --- | --- |
| Local | Profile data stays on the device where it is stored. | Profiles assigned to one person using one computer. | Other devices cannot access the profile. The documentation describes local storage as being at your own risk, so plan for backups. |
| Cloud | Profiles are stored in the cloud and can be accessed from any device after signing in to the Incogniton account. Server regions include the United States, Europe, and Asia. | Shared team profiles and people who work across multiple devices. | Requires an internet connection. Choose the server region closest to your location. |
| Hybrid | Combines local and cloud storage. See the [cloud-saving documentation](https://docs.incogniton.com/account-management/cloud-saving) for configuration details. | Teams that need both individually stored profiles and shared profiles. | Agree on which profiles belong in each storage location to avoid confusion. |

Shared profiles belong in the cloud. Local storage makes sense only for a profile that one person uses on one computer, and hybrid lets you run both, as long as everyone agrees which profiles go where.

The cloud is also what lets a teammate open a profile at home on Monday and at the office on Tuesday. Profiles and proxies sync between devices. If the sync server is unreachable, Incogniton falls back to local data and the launch still goes ahead. Recent releases have made syncing more reliable, which is one more reason to keep the app updated on every machine.

## Step 2: Decide which devices will launch each profile

Being able to open a profile anywhere doesn't mean it should be opened everywhere. Agree on the computers that normally launch each profile, install Incogniton on them, and keep them on the same app version. Test every profile the first time it runs on a new device.

![Table with two columns: Situation and Recommended setup. Rows list situations like Shared office desktop, Home laptop, Freelancer or contractor, and Scheduled tasks, each with a corresponding recommended setup.](https://incogniton.com/wp-content/uploads/2026/10/image-96-1024x585.png)

Matching operating systems helps too, even though Incogniton doesn't require it. The profile controls its own fingerprint. Performance, installed fonts, and screen size still come from the host computer, and similar machines keep those differences small.

Each profile has its own proxy, set in the Proxy tab, and all of its traffic goes through it. That means a teammate who moves from the office network to their home Wi-Fi doesn't need to touch the proxy. Changing it is what causes trouble, since websites then see a new IP address and location and may ask the account to verify itself. The [Incogniton Proxy Store guide](https://incogniton.com/blog/incognitons-proxy-store/) covers the available options.

On a new device, run the profile through a fingerprint checker such as BScan or Pixelscan before doing real work in it. A clean result tells you the profile reports what you configured. It can't promise a platform won't ask for verification anyway.

Here's how that plays out in the setups hybrid teams usually have:

| **Situation** | **Recommended configuration** |
| --- | --- |
| Shared office desktop | Use cloud profiles, enable active session locks on shared profiles, and give each operator an individual Incogniton login. |
| Employee using a home laptop | Share the relevant cloud profiles through a team group and use the employee's own team account. |
| Freelancer or temporary contractor | Restrict access to the groups needed for the project and remove access when the engagement ends. |
| Scheduled or automated tasks | Use a dedicated, always-on machine. The Incogniton API, available on the Entrepreneur plan and above, can launch and stop profiles programmatically. |

## Step 3: Prevent simultaneous access to shared profiles

Two people opening the same profile at the same moment is a reliable way to break it. Their sessions conflict, sync fails, and whoever opens the profile next inherits the mess.

**Active session lock** prevents this by allowing a profile to run in only one place at a time. Open the profile's three-dot menu and go to **Edit > Advanced > Other > Active session lock** . With a large library, it's quicker to set the lock in bulk through its column in a CSV import.

Turn it on for every shared profile. Then make closing profiles a habit, because a profile left running on a home laptop overnight blocks everyone else. Need tighter control? A role permission can limit a member to one running profile at a time.

Our guide to [browser session sharing](https://incogniton.com/blog/what-is-browser-session-sharing/) explains why shared sessions go wrong in the first place.

## Step 4: Control access through team permissions

With team management, nobody hands out passwords for the accounts inside your profiles. You share profile groups with team members and decide what each person can do with them. It's available on the Professional plan and above, which includes three team seats, and you can add more seats as the team grows.

Invite people through the **Team** section and give each one a role. Roles draw on four permission categories, which are Administration, Proxy library, General group permissions, and Specific group permissions. As a rule, give each person the least access their work needs.

- **Administration.** Keep this to the one or two people who run team settings, members, roles, and integrations. Administrators can also restore deleted profiles.
- **Proxy library.** Only members who look after the team's saved proxies need it.
- **Group permissions.** Share the groups each person works in. The specific permissions then separate people who can use a profile from people who can also edit it.

Grouping profiles by client, project, or region pays off at the end of a contract. Removing a contractor means revoking one group, not hunting through every profile they touched.

Everyone should sign in with their own Incogniton login and two-factor authentication. Incogniton supports authenticator apps (TOTP), and an administrator can switch 2FA off for a member who loses their phone.

Two related guides go further into roles, [Managing Team Permissions: Scaling Without Sharing Passwords](https://incogniton.com/blog/managing-team-permissions-scaling-without-sharing-passwords/) and our overview of [team management and collaboration](https://incogniton.com/blog/how-to-use-incogniton-for-team-management-and-collaboration/) .

### Temporary access through account sharing

Sometimes you need to hand a whole account to someone for a few days. **Settings > Share account** sends an email invite with an expiry date, and you can revoke it at any time. There are conditions. The recipient must be a paid user with at least 50 profiles, and sharing isn't available while two-factor authentication is on.

Keep account sharing for handovers. Day-to-day collaboration works better through roles and group permissions, which give you far finer control.

## Step 5: Plan for onboarding and offboarding

Onboarding is quick. Invite the new person through the **Team** section, assign a role, and share the groups they need. Before they start, have them install Incogniton and do a test launch.

![Offboarding checklist with items: Confirm profile ownership, Remove access, Secure connected accounts, and Check local data.](https://incogniton.com/wp-content/uploads/2026/10/image-97-1024x585.png)

Offboarding takes more care, because the risk is a profile that exists only on the departing person's device. Check ownership before you remove anyone's access.

### Offboarding checklist

- **Confirm profile ownership.** The team must keep access to every profile the person managed. If that means moving profiles, use **Settings > Profile transfer** . Be sure before you do, since an accepted transfer removes the profile from the sender's account and can't be reversed.
- **Remove access.** Take the person off the team, then look over their recent activity.
- **Secure connected accounts.** Change any shared credentials they knew and update recovery details.
- **Check local data.** Nothing business-critical should remain only on their device.

Cloud storage lowers the risk of losing a profile when someone leaves. It doesn't replace checking ownership on their last day.

## Step 6: Review access through Activity and Security overview

Two views show you who has been in the account and from where. The **Activity** tab lists login history and browser-profile sessions. Alongside them are member statistics such as online status, last seen, logins, failed logins, and total active time. Click a member to see their full timeline, or export filtered rows to CSV or Excel.

![Incogniton security overview showing signed-in devices including an office desktop, Tunde's laptop, and an unknown device.](https://incogniton.com/wp-content/uploads/2026/10/image-98-1024x585.png)

**Settings > Security overview** shows every device signed in to the account, with its operating system, IP address, app version, and when it was last active. Your current session is marked. You can sign out of all sessions at once, and selecting a session shows which profiles it launched or stopped.

Spot an unfamiliar device or a run of failed logins? Find the member or session behind it first. Then revoke access and secure the affected account.

## A final review before handing over access

Before a team member starts working on their own, confirm that:

- Shared profiles are stored where the rest of the team can access them.
- The correct groups and permissions are assigned.
- Active session locks are enabled on shared profiles.
- Each team member uses their own Incogniton login.
- No business-critical profiles are held solely on one person's device.
- Administrators know where to review activity and signed-in devices.

## Conclusion

A hybrid setup holds together when every profile has a clear home, a defined set of people allowed to open it, and a record of who did what with it. Cloud storage gives the team access from any device. Session locks stop people colliding, and permissions plus the Activity and Security overview views keep control where it belongs.

None of this overrides the rules of the platforms you work on, though. Before you share access to a social media or advertising account, check that platform's terms and use its own team or partner tools where they exist.

Team management, roles, and the Activity tab start on the Professional plan. [Compare Incogniton plans](https://incogniton.com/pricing/) to find the right fit for your team.

## Frequently Asked Questions

Can multiple team members use the same browser profile at the same time?

No. Simultaneous use creates sync conflicts. Enable Active Session Lock on shared profiles so each one can only be open in one place, and close profiles when you finish.

How do I share a browser profile without sharing a password?

Put the profile in a group and share that group through Incogniton’s team management. The team member signs in with their own Incogniton login and opens the profile from there. Team management requires the Professional plan or higher.

What is the difference between local and cloud browser profiles?

A local profile lives on one device and only opens there. A cloud profile opens on any device you sign in from, as long as you have an internet connection. Hybrid mode combines the two.

Why is a profile showing as running when nobody has it open?

It probably wasn’t closed cleanly on another device. Close it where it was opened. If it still shows as running, update Incogniton. A recent release fixed a stale “running on another device” lock that could block launches.

What happens to a teammate's profiles when they leave?

That depends on where the profiles are stored. Ones held only on the person’s device are hard to recover, so keep team profiles in the cloud and use Profile transfer when ownership needs to change.

How do I give a contractor access for a few days?

Invite them as a team member with a role limited to their project’s groups, and remove them when the work ends. To hand over a whole account for a set period, use account sharing with an expiry date, provided you meet its requirements.
